  • INR 2,00,000 refundable security deposit per contract (before dumping event material at site, tied to function space damage)
  • INR 1,00,000 refundable security deposit from the EMC (event management company) per contract
  • 10% of total amount as security deposit against incidentals (room count increases, minimum guarantees, beverages, AV, room incidentals); unused portion refunded to source within 7 to 10 working days after the event

Five rules that matter most

  • Cancellation is 100% of room and catering charges for the minimum guarantee once signed. All amounts already paid are forfeited.
  • Attrition is 100%: if actual usage falls below the Room Night Commitment on any night, the shortfall is charged to the master account as liquidated damages.
  • Guest count variance of 10% is allowed per event. Beyond +10%, a 10% surcharge on the per pax buffet rate applies, and service may be per availability.
  • Liquor must be purchased from the hotel only. Outside food counters are allowed (chaat, fruit, chai, tawa roti etc.) with an indemnification letter.
  • Music curfews: loud music till 22:30 outdoors, 23:00 indoors. After-party requirements must be informed in advance.

Identical schedule on both contracts. 100% advance required by 30 Nov 2026 to hold arrangements on a definite basis. Incremental billing settled via cash, credit/debit card, or IMPS. Cash limits: PAN required at INR 49,999+; max permissible cash INR 1,99,999 with valid PAN (Sec 139A / 269 ST, Income Tax Act).

Buffets run for 3 hours; extending needs kitchen team approval. Menu grids: lunch has 4 live counters and 6 desserts; dinner has 5 live counters, 7 desserts, plus a noodle preparation. High tea covers farsan, tea/coffee, cookies, 2 hot and 2 cold vegetarian snacks. No liability for allergies; no special orders based on allergies.

Breakfast is a buffet but has no itemized grid in either contract. Specific dishes within each count are chosen at the menu-finalization stage.

  • Special food counters from outside are allowed with a designated space provided by the hotel: chaat counter, exotic fruit counter, all-day chai counter, tawa roti counter etc.

Hotel provides for functions

Cancellation & attrition

  • After confirmation and signing: cancellation charge is 100% of room and catering charges for the minimum guarantee
  • All amounts already paid are forfeited on cancellation; if deposits fall short of the cancellation fee, balance payable within 7 days
  • Attrition: usage below 100% of the Room Night Commitment on any night is charged to the master account as liquidated damages. All rooms must be used on the specified dates
  • All cancellations must be notified in writing
  • Impossibility clause: termination without liability for force majeure (acts of God, war, terrorism, government regulation, WHO-declared pandemic, disaster, strikes, civil disorder, transport curtailment) with written notice within 10 days of learning of the basis

Guests, menus & guarantees

  • Shortfall below guaranteed meal numbers: difference charged to master (Mr. Ketan K Shah HUF / Mr. Niket K. Mody respectively)
  • Increase of more than 10% in guaranteed attendees lets the hotel revise per person meal prices; inform at least 7 days prior
  • 10% variance over guaranteed numbers tolerated; beyond that, 10% surcharge on per pax buffet rate, service per availability
  • Menus final 3 days prior, else chef's choice; buffet duration 3 hours
  • No room transfer or resale of reservations by guests or intermediaries

Venue conduct

  • Loud music outdoors till 22:30, indoors till 23:00; after-party music to be informed in advance
  • Liquor purchase mandatory from hotel only; dispensed by hotel employees; may be denied to intoxicated or underage guests
  • Smoking banned in all public areas including banquet spaces (designated guest rooms and outdoor areas excepted)
  • Client responsible for damage during event and setup/dismantling by setup staff or guests, irrespective of amount; hotel not responsible for guest belongings in public areas
  • Unattended items in function rooms not secured by hotel; extra security possible, all security personnel subject to hotel approval
  • Any changes or lining-out binding only if initialed or approved in writing by the other party

Permissions from JMC, excise, entertainment tax, police, IPRS, customs etc. to be taken well in advance; copies submitted to hotel, and your confirmation letter must state you take full responsibility for these permissions.

Discrepancies & things to close with the hotel

Ranked by how much money or risk sits behind them.

1. Room grid doesn't add up (both contracts) Category rows for 15 and 16 Dec sum to 146 rooms per night, but the contract states a total of 113 per night, and the 239/238 room-night commitments are built on 113. If the hotel later holds you to the category grid, attrition exposure changes materially. Get written confirmation that the commitment is 113 rooms per night and ask which category counts are correct.
2. Shah counter-signed copy The Shah PDF shows the Karta stamp and initials but the signature table has no dates and no hotel signatures, while the Mody copy is fully executed (client 19/01/2026, both hotel signatories). Confirm you hold a fully counter-signed Shah agreement; without hotel signatures the document is technically still an offer per the Acceptance clause.
3. 100% attrition with zero flexibility Any night's usage below 113 (or 13/12 on the 14th) is charged in full. With the cut-off on 7 Dec, push rooming lists early and reallocate between the two contracts if one side under-fills, since transfers by guests are prohibited but the masters can coordinate with the hotel.
4. Refund bank mismatch Bank details name Punjab National Bank (Serveall Land Developers Pvt. Ltd., Chetak Circle) but the Refunds clause says recall requests go to the hotel's bankers "ICICI Bank". Clarify the correct refund mechanics now, before INR 3,00,000+ of deposits are in play.
5. Supper asymmetry Shah's 100 pax supper on 15 Dec is included; Mody's on 16 Dec costs INR 1,000 + taxes per person (about INR 1,18,000 for 100 pax). If parity was expected, negotiate before the BEO stage.
6. Ironing wording differs Shah: 75 pieces per day. Mody: 75 pieces per day for 15 and 16 Dec only. Confirm whether 14 Dec ironing on the Mody side is chargeable.
7. Mody PAN missing Mody account details show no PAN. Cash rules require PAN for cash payments of INR 49,999+. Supply it proactively to avoid billing friction.
8. Electricity ceiling is only 5 KV Wedding production (sound, lighting, LED walls) will exceed this easily. Budget third-party gensets and factor the indemnification and license timelines.
9. Recce nights expire 7 Dec (Shah only) 12 recce room nights, subject to availability. Plan planner and decorator visits early; Mody side has no recce entitlement.
